All cards and their transactions are safely stored in the system. You can search for cards by card details, accounts, or program info.
Some common reasons to look up a card? Maybe you want to check out the card details, transfer the balance from a lost or stolen card to a new one, or making adjustment to transactions.
Card Status
There are different card statuses available in the DataCandy system.
Pre-active: This status is unique to loyalty cards. Typically, these are your cards in inventory (ready for distribution to customers) or cards that have never had a transaction on them. The only way to activate them is with a transaction, either at the point of sale or through an adjustment in the back office.
Active: This status is used for all card types. When active, the card is able to accumulate, redeem and generally be used (activate, spend and reload in the case of gift cards).
Clarification: Gift cards are generally set as "active" as soon as they are printed. However they still need to be activated at the terminal, POS or the DataCandy Backoffice to be usable (if they have never been activated in the past)
Active No Redeems: This status is unique to loyalty cards. The card is able to accumulate, but not redeem. Generally, cards with this status become active once the loyalty member registers it to a complete profile.
Lost: This refers to a card that is permanently out of use; this status can be set manually or through the Transfer functionality. When a card balance is transferred to another card, the status of the original card is set to lost by the system. This status is permanent and cannot be reverted.
Useful tip: We recommend always removing all remaining balances from a card before setting it to Lost. Once the status is set, you can no longer transfer a balance or make an adjustment on the card.
Inactive: This refers to a card that is inactive. This status can be set manually or through different automations in the system. Once inactive, the card can be reactivated through the Backoffice.
Suspended: This temporarily suspend a card from being used and is another form of inactive. It can be manually set to identify a card that is suspected due to potential fraud or requires temporary inactivity.
Accounts and Account Types
Accounts are the way you can identify the program linked to a specific card number. Our system groups each cards in specific categories called Account types .
The most common account types include:
Gift Cards: Refers to a card that can store dollars. When you have opted for the digital card option, the account type can also be called E-gift.
Loyalty: Refers to a card that can store points or rewards. When you have opted for the digital card option, the account type can also be called E-Loyalty.
Promo Cards: Refers to a gift card that can store dollars and that has a specific expiration date. Promo cards cannot be sold, but can be given away for contests or promotions.
The account types can also be customized if you are on our DC PRO solution, and can be used to segment your reporting.
