Create a Punch Card Offer (DC PRO)

This article covers how to create and activate punch card offers on our DataCandy PRO package.

Useful tips:

  • Make sure you have created all items, item categories or targets you wish to apply to your promotion or punch card, before starting the configuration!

  • Creating a test punch card is always a good idea to ensure that your will not run into any glitches on go-live day! We recommend testing the earning and redeeming the reward.

  • You can create a special target that contains only those allowed to test your punch card and apply it to your test punch card configuration. This target can be reused for all punch card testing in the future!

Clarification:

Our Punch Card functionalities are only available on our DC PRO package and with specific POS and Terminal integrations. If you wish to use this feature, please reach out to your DataCandy contact to find out if they are the right match for you.

First, setup the type and availability of your punch card:

  1. From the main menu select Offers / Punch Card Rules / Add.

  2. Select the member action required to earn a reward.

  3. Select the Free item reward type and click Next.

  4. On the configuration screen, enter a Name for your punch card and a Description. The offer name will appear on the Offers tab of the member portal.

  5. Enter an External Reference. This is optional.

  6. Select the Active status.

    1. If Yes is selected, the punch card will automatically start on the selected start date and be displayed in the Offers tab of your member portal.

    2. If No is selected, the punch card can still be saved but it will not start automatically until the active field is set to yes at a later date.

  7. Select the time zone you wish to run this promotion on. We recommend you always utlise "Each Merchant's Time Zone".

  8. Select your start and end date.

    1. Note that if the end date is left empty, the promotion will run until it is manually stopped.

    2. You may set a specific start and end time if you wish. By default our platform will suggest 00:00 if the start date is in the future. If the start date is today, the promotion will start, at the earliest, 45 min after it is configured.

    3. For a one-day punch card, set the start and end dates to the same date.

  9. If applicable select the punch card recurrence. If selected, the offer will automatically run on the days selected, and stop once the period has ended.

    1. You may select a daily, weekly or monthly recurrence. This is similar to setting a recurring calendar invitation!

    2. You will need to set an end to the recurrence, wether it is on a specific date or after a certain number of ocurrences.

    3. You can set an event duration in hours. if you wish for the offer to run the whole day, you can set it to 24 hours.

  10. Select the Paid by merchant. This is the merchant that will pay for the free item.

    1. Select the "Headoffice" to have that entity cover the free item cost generated at all the participating merchants.

    2. Select “Participating Merchant” to have the merchant where the transaction takes place, partially pay for the cost of the free item according to how many punches were given at their location.

  11. Select Availability. This is where the punch card will be valid.

    1. All merchants will apply the offer at every location

    2. One or more merchant subcategories will apply the offer only at the selected merchant groups.

    3. One or more merchants will apply the offer only at the selected merchants.

  12. Select a Target; you must have created your target beforehand if you wish to select it from the drop down menu. If you wish all loyalty members to have access to the punch card, leave this unticked and blank!

  13. Select wether the free item can be obtained only once (Single use = Yes) or unlimited times (Single use = No) during the duration of your punch card.

  14. Define your reward expiry in number of days. This will determine how many days the member will have to redeem their free item after it has been earned.

Next, setup your trigger and threshold details:

If your punch card is based on Spend, Visit or Visit + Spend, you may skip directly to setting the Rule!

Trigger based on items

  1. Select the Eligible Items Rule that may trigger the accumulation of a punch.

    1. One from each group: To be eligible, the member must purchase one item from each item group listed in the next section.

    2. One from any group: To be eligible, the member must purchase one item from any of the item groups listed in the next section.

  2. Define your item groups in the Eligible Items section.

    1. Click on the blue text or select Add

    2. Define the maximum quantity of eligible items the member can purchase and get a punch for. You will need to define this for each item group you configure.

    3. Start typing the item name or SKU you wish to add ; this will search the item amongst the list of items you have previously created in DataCandy.

    4. Select the item by ticking the checkbox and then click Add ; only when the item is listed in the "Selected item" section below will have been succefully added to your promotion.

    5. Once all items have been added to the item group, select Save Changes

  3. Repeat these steps until you have added as many item groups as you need.

Useful tip:

Here is an example to illustrate these rules! If you wish your member to buy 1 drink and 1 burger to trigger the accumulation of a punch, you will need to:

  1. Select One from each group in the eligible items rule

  2. List all drink items in one group, with maximum quantity of 1

  3. List all burgers items in another group, with maximum quantity of 1

Trigger based on items categories

  1. Select the Eligible Items Rule that may trigger the bonus points or discount.

    1. One item from each category: To be eligible, the member must purchase items in each of the categories listed in the next section.

    2. One from any category: To be eligible, the member must purchase items in at least one of the categories listed in the next section.

    3. Exists in every category: To be eligible, the member must purchase an item that belongs to all of the categories listed in the next section.

      1. Note: This is especially useful for our thrift store clients! For example an item could be in the "Sweater" category and in the "Women" category; it needs to exist in both to be eligible to accumulate a punch.

  2. Define your item categories in the Eligible Items from Categories section.

    1. Click on the blue text or select Add

    2. Start typing the name of your category. This will search the category amongst the list of categories you have previously created in DataCandy. All eligible categories will be displayed in the drop down menu for you to select.

  3. Repeat these steps until you have added as many item categories as you need.

Finally, define the punch card rule that must be met, for the member to earn the free item reward:

  1. Define the rule in the Rules section

    1. Click on the blue text or select Add

    2. Depending on the trigger selected, you will be able to set, at the very top of the pop up:

      1. Spend : The amount of money the member must Spend to get the reward.

      2. Visit : The number of Visits the member must make to get the reward

      3. Items : The number of items the member must Buy to get the reward.

      4. Item Categories : the number of items from the eligible categories the member must Buy to get the reward.

      5. Visit + Spend : The number of Visits and the total amount of money the member must Spend over the course of the number of visits to get the reward.

    3. Set the Reward details; these are the details of the free item the member will earn:

      1. Enter a name in English and French. This is the name the member will see in receipts and online.

      2. Enter the Code of the reward. This number should represent the free item SKU or the free item code on the POS.

        IMPORTANT:

        • If using a POS, this number must match the free item POS sku. If it is not correctly set at the POS or in DataCandy, the reward earned will be invalid and the member will not be able to redeem it.

        • If using a payment terminal, only the reward code and name will be displayed and returned to DataCandy, the code can be set as a generic number as it is not linked to your POS.

      3. Enter the Cost of the free item you are giving away. This is not the retail cost but the cost of the materials to the merchant.

      4. Enter the Barcode if aplicable. This is not mandatory and can be left empty in most cases.

    4. In the Add free Items area, enter the options that the member will be allowed to redeem their free item for.

      1. Example: If you are giving away a Free Juice, the redeemable items might be Orange juice, Apple juice or Grape juice only.

      2. If using a payment terminal, only the reward code and name (if supplied) will be displayed and returned to DataCandy. When redeemed, we will remove the oldest reward from the member's earned rewards for that rule.

      3. If using a POS system, the entire list of choices will be displayed and the selected reward will be returned to DataCandy.

    5. Start typing the item name or SKU you wish to add ; this will search the item amongst the list of items you have previously created in DataCandy.

      1. Select the item by ticking the checkbox and then click Add ; only when the item is listed in the "Selected item" section below will have been succefully added to your promotion.

      2. Once all items have been added to the selected item section, select Save Changes

  2. Your punch card can now be saved.

Punch Card Image

Once the punch card is saved, you have the ability of adding an Offer and a Reward image that will be displayed on the Offers tab of the member portal.

The offer image will be added to the available offers tab and the reward image will be visible on the available rewards tab once earned.

The images must be 411px wide x 279px high and in a .jpg or .png format.

  1. Select Edit Images or Rewared Images

  2. Upload the image of your choice in the Edit Images or Rewards Images sections

  3. Select Save
